Hours: 8:30 am – 5:00 pm Monday thru Thursday and Friday 8:30-1pm
Reports to: Tennyson Smith II
Job Summary: The Ministry Administrative Assistant plays a crucial role in ensuring the
smooth operation of our Ministry by providing administrative and clerical support. This role is
responsible for handling various tasks to enhance productivity and efficiency within the
workplace. They will be implementing procedures, administrative systems, policies, and
prayerfully monitoring administrative projects.
Key Responsibilities:
Office Management
– Maintain office supplies and equipment, order new supplies when necessary.
– Ensure the office is well-organized and presentable.
– Work closely with the Pastor to manage people and processes
Communication
– Answer phones and respond to texts and emails during business hours.
– Check calendar (Setmore) daily and send payment reminders via text.
Schedule & Calendar Management:
– Schedule appointments, meetings, conference calls, and maintain counseling event calendars.
– Send new client emails and manage intake forms.
– Manage the Pastor Calendar
Data Entry and Record Keeping
– Keep Client List Updated (Monthly).
– Manage Financial Assistance Forms
– Record staff meeting minutes and place them in shared Google Drive.
– Participate in staff 6 week check in’s with the Pastor
– Participate in scheduling and taking minutes in the Board of Trustee meetings.
Marketing Support
– Create social media posts.
– Utilize Canva for social media and other projects.
Fundraising
– Work closely with Ministry Leaders to assist with fundraising/outreach projects.
– Be an active member of the annual FUNraiser committee that plans the fall FUNraiser
Special Projects
– Assist with the coordination of volunteer projects as needed.
– Assist with Sunday Service
– Assist with other duties, projects, and tasks as assigned by supervisors.
Candidate Must Be:
– Adaptable, flexible, teachable and organized.
– Able to demonstrate good judgment and decision-making.
– Able to Multitask and provide great attention to detail.
– Highly developed in verbal, written, and telephone communication skills with the ability to act
on both a professional and personal level with adults, youth, and children.
– Able to operate well in an independent setting with minimal direction/supervision.
– A good collaborator within a team environment.

Qualifications:
– Bachelor’s Degree preferred.
– 2 years of ministry administrative experience
– Proficiency in using office software and equipment (e.g., Microsoft Office Suite & google Office
Suite).
– Attention to detail and accuracy in work.
– Ability to multitask and prioritize tasks effectively.
-Discretion and the ability to handle sensitive information confidentially.
The performance of the Ministry Administrative Assistant will be reviewed during the first 90
days, 6 months and 12 months, and on a yearly basis thereafter.
